1. Who we are
MedChainCare is a service brand of Yilian Group. We support medical communication and care coordination for Chinese families overseas, international patients and their families, including remote consultations, second opinions, visit coordination and follow-up. This policy applies to information you provide during enquiries and services.
We are not a hospital, clinic, pharmacy or emergency service. We do not diagnose, treat, prescribe, operate a hospital department or guarantee that any hospital will accept a case.
Contact our service team at: yilian@yljt.cn.
2. Information we collect
We collect information needed to understand and coordinate your request, including:
-
Contact information, such as name, country or region, email, phone number, WhatsApp or WeChat.
-
Case information, such as diagnosis, treatment history, current concern and the question you want to clarify.
-
Medical records, such as reports, imaging summaries, pathology reports, discharge summaries, medication lists and referral notes that you choose to provide.
-
Communication records, such as messages, forms, emails and call notes related to the coordination process.
-
Payment and invoice information, where you purchase a paid coordination service.
-
Basic website data, such as browser type, device type and pages visited, if analytics are enabled.
Please do not send information that is unrelated to the medical question or coordination request.
How the website enquiry form handles information
The form collects your name, email, contact details, country or region, relationship to the patient, preferred language, enquiry topic, concern and consent confirmation. On submission, these details are emailed to our service inbox for response and coordination. The current form does not accept medical-record attachments. Please confirm a submission method with the service team before providing further records.
3. How we use information
-
To respond to your inquiry and understand whether a pathway review is appropriate.
-
To organize medical records into a clearer case summary and question list.
-
To identify relevant hospitals, departments or doctors in China and enquire about consultations and appointments.
-
To communicate with hospital international offices, departments or clinical teams after your consent.
-
To coordinate interpretation, local transport, visit planning and document handover if you decide to travel.
-
To manage service fees, invoices, refunds, compliance records and customer support.
We do not sell personal information. We do not use medical records for advertising. We do not use patient records to train public AI models.
4. Medical records and consent
Medical information is sensitive. We use it only for the coordination purpose you requested. Before we send a case summary or records to a hospital, department, doctor, translator or other service provider, we will ask for your consent or confirm the scope of what may be shared.
You may ask us to remove or redact information before it is shared. If you withdraw consent, we will stop future sharing unless we are legally required to keep a specific record.
5. Who we may share information with
We share information only when needed for the service you asked us to coordinate:
-
Hospitals, departments and clinical teams, to ask whether your case can be reviewed or arranged.
-
Translators and interpreters, to translate records or support communication.
-
Local logistics providers, only where needed for visit support, such as transport or accommodation coordination.
-
Payment, accounting and legal service providers, where needed for billing, refunds or compliance.
-
Public authorities, only where required by applicable law.
We ask service providers to handle information confidentially and to use it only for the agreed coordination purpose.
6. Cross-border processing
If you contact us from outside mainland China, your information may be transferred to mainland China and processed by our China-based service team. With your consent, relevant records may be shared with doctors, hospitals or service providers in China for the consultation and coordination you request.
By submitting a pathway review request, you understand that your information may be reviewed by our China-based coordination team and, with your consent, shared with relevant China-based hospitals or service providers.
7. Retention and deletion
We keep information only for as long as needed for the coordination purpose, follow-up support, dispute handling, accounting or legal compliance.
-
Inquiry records that do not proceed are normally deleted or archived within a limited period after the last contact.
-
Active coordination records are kept while the case is active and for a reasonable follow-up period after completion.
-
Invoice, payment and compliance records may be kept for the period required by law.
You may request deletion by contacting us. We will act on the request unless we need to retain specific records for legal, accounting or dispute-resolution reasons.
8. Security
We use administrative and technical measures designed to protect patient information, including limited access, confidentiality requirements and controlled document handling. No transmission or storage method is completely secure, so we encourage you to avoid sending unnecessary records or unrelated personal information.
9. Your choices and rights
Depending on applicable law, you may ask us to:
-
Confirm whether we hold your personal information.
-
Provide a copy of information you submitted.
-
Correct inaccurate or incomplete information.
-
Delete information that is no longer needed.
-
Stop using or sharing information where consent is the basis for processing.
To make a request, contact yilian@yljt.cn. We may ask you to verify your identity before acting on a request.
10. Cookies
Our website may use essential cookies for basic site operation. If analytics are added, they should be used to understand aggregate website performance rather than to identify individual patients. You can manage cookies through your browser settings.
11. Children
If the patient is under 18, the request should be submitted by a parent, legal guardian or authorized family representative. We do not knowingly coordinate a minor case without appropriate guardian involvement.
12. Changes
We may update this Privacy Policy as our service, website or legal obligations change. The latest version will be posted on this page with the updated date.
